Request for cooperation to further prevent the spread of COVID-19

The International Student Expo will contact and cooperate with the facility and all related organizations to prevent the spread of COVID-19 based on government guidelines while moving forward towards holding the event. We ask for your cooperation with reserving your attendance time in advance to prevent overcrowding of the venue. Entrance may be restricted depending on how many people are inside the venue. We ask for your cooperation to further prevent the spread of COVID-19.

Visitors who have any of the following conditions are asked to refrain from attending.
  1. ①Having High-fever; over 37.5℃
  2. ②Having a fever, cough, or headache
  3. ③Sluggishness, difficulty breathing, discomfort in the chest
  4. ④If somebody close to you is suspected to have COVID-19
  5. ⑤If you have other symptoms related with COVID-19
  6. ⑥Anybody who has been abroad within the time frame designated by the government
    Including people who have had contact with the above
  7. ⑦Having other symptoms (Loss of taste or smell・Extreme Fatigue)
We ask for your cooperation to prevent the spread of COVID-19 when visiting the event.
You may not be allowed to enter the event if you do not follow the below.

The organizer will take the following measures to further prevent the spread of COVID-19.

  3. ③Registration of personal information of visitors and related parties
  4. ④Visitor log keeping records of entries and exits
  5. ⑤Mandatory temperature check and wearing of masks
  6. ⑥Disinfectant and infection prevention equipment throughout the venue
  7. ⑦Regular ventilation in the venue
  8. ⑧Venue layout, waiting line, venue arrangement that avoids the 3 C’s
  9. ⑨Announcements and alerting at the venue
Requests for Exhibitors
  1. ①Please register the names and emergency contact numbers for all staff members.
  2. ②Please follow operation manual provided by the organizer.
  3. ③Please keep records of visitors.
  4. ④Please check your temperature when entering the venue and wear masks at all times.
  5. ⑤Please place disinfectant alcohol inside your booth.

The International Student Expo Executive Committee (hereinafter referred to as “the Executive Committee”), which organizes, implements, and manages this event, will collect and use personal information to the extent necessary for the smooth and safe operation of this event. The Committee recognizes its social responsibility to strictly protect personal information entrusted to it, and will comply with laws and regulations regarding personal information, and will strive to protect and handle personal information in accordance with the following personal information protection policy.

1. Collection, use, and provision of personal information

(1) Definition of personal information
The Executive Committee defines personal information as any information that can be used to identify a specific individual.
(2) Collection, use and provision of personal information
We will collect, use, and provide personal information in an appropriate manner that takes into account the content and scale of the International Students Expo business conducted by the Executive Committee. In addition, unless there are special circumstances, we will not disclose or provide the collected information to any third party without the consent of the individual concerned.
(3) Outsourcing of personal information processing
When outsourcing personal information processing, the Executive Committee will select a contractor that meets an adequate level of personal information protection, and will oblige the contractor not to leak personal information.

2. Proper management of personal information

In order to keep the collected personal information accurate and up-to-date, and to prevent unauthorized access, loss, destruction, falsification, and leakage of personal information, we will take reasonable safety measures and inject management resources that match the actual situation of the business to continuously improve the personal information security system. In addition, we will promptly take corrective measures in the event of an incident.

3. Compliance with laws and regulations

The Executive Committee will comply with laws, regulations, and other standards related to personal information. In addition, the Executive Committee will conform its regulations to these laws and norms and handle personal information in accordance with the regulations.

Handling of personal information

1. Purpose of use of personal information

Personal information will be used for the purpose of sending products and notifying the public about related services in the planning and implementation of the International Students Expo. Personal information previously held by the Executive Committee will be used for the same purpose only, and the purpose of use will be clearly stated each time personal information is collected in writing. (Article 24, Paragraph 1 and Article 18, Paragraph 2 of the Act on the Protection of Personal Information)

2. Management of personal information

The Company will appoint a person in charge of managing personal information, clarify the role of the person in charge, and create an environment in which the person in charge can appropriately carry out activities related to the protection of personal information. 3. Providing personal information

We will not provide personal information to third parties except in the following cases.
When the customer’s consent has been obtained and disclosure of information is requested by a court of law, public prosecutor’s office, police, bar association, consumer affairs center, or other organization with similar authority.
In addition to the above, when the Committee is obligated to disclose information by law or order, or when the Committee outsources its operations to a contractor. In this case, we will follow the next section, “Entrustment of Personal Information”.

4. Entrustment of personal information

In order to provide better services to our customers, the Executive Committee may outsource part of its business operations. Personal information may be entrusted to the subcontractor. In this case, the Company will select a contractor that is recognized to handle personal information appropriately, and will stipulate in the contract or other agreement the matters necessary to prevent the leakage of the customer’s personal information through proper management and confidentiality of personal information, and will have the contractor implement appropriate management.

5. Disclosure and update of personal information

If the Committee receives a request from a customer or his/her representative to disclose, modify, add, delete, stop using, erase, or stop providing to a third-party personal information that the Committee has received from the customer, the Committee will respond to the request to a reasonable extent. However, this does not apply in cases where there is a risk of harm to the life, body, property, or other interests of other customers, or where it is judged to be a significant impediment to the execution of the organization’s business.
